Connect Your Shopify Store to Hellotax
Shopify API Integration setup instructions
What this integration does
Our new Shopify ↔ Hellotax API lets you securely connect your Shopify store so that VAT-relevant transaction data (e.g., orders, refunds, shipping/tax lines) flows into your Hellotax account automatically.
It also imports product details needed for compliance tasks—most importantly your NET product cost prices, which tax authorities require for EC reporting and cross-checks against your VAT returns.
Before you start (prerequisites)
Shopify: Admin access to the store you want to connect (store URL like
yourstore.myshopify.com).Hellotax: Active login with the Integrations feature enabled.
Product values: Be ready to provide NET product cost prices (either during or after your first sync). Why this is required and how to enter or bulk-upload values is detailed here: Product Values.
Part A — Connect Shopify (one-time setup)
Open Hellotax → go to Settings → Integrations → Shopify.
Click Connect store (or Add connection).
Enter your Shopify store URL (e.g.,
yourstore.myshopify.com) and select Connect.You’ll be redirected to Shopify to review permissions. Click Install app to approve the connection.
You’ll return to Hellotax and see a connected status once authorization completes.
Tip: If you manage multiple Shopify stores, repeat the steps above for each store.
Part B — Choose what to sync (recommended defaults)
After connecting, set your sync preferences:
Import range: From which date to start importing Shopify transactions.
Data types: Orders, refunds/returns, shipping lines, discounts, tax lines.
Channels: All sales channels or only specific channels (e.g., Online Store).
Currency & rounding: Confirm how you want totals handled if you sell in multiple currencies.
Click Save to start the initial sync. Depending on your volume, the first import can take a little while.
Part C — Complete required product values (compliance)
Tax authorities require you to provide NET product cost prices (supplier price + inbound shipping to warehouse, excluding import VAT/duty). These values are used for monthly EC reports and are compared against your VAT returns.
You can add NET values in two ways:
Option 1: Enter values in Hellotax (manual)
Go to Settings → Products.
Use the filter at the top: set Status = Active and enable the ERROR toggle to find products missing NET values.
Click a product name → in VALUE, enter the NET cost price and choose the currency → Save.
Repeat for other products.
Option 2: Bulk upload via CSV
In Products, click the ⋯ (top-right) → Export Product List.

Open the CSV:
Column D: enter “Yes” if you need to backdate NET value changes.
Column F: enter the NET cost price for each product.
Save as CSV and upload back into Hellotax.
Part D — Verify your data
Transactions: Spot-check a few Shopify orders in Hellotax (totals, tax lines, shipping).
Refunds/returns: Confirm they appear with correct VAT treatment.
Products: Make sure products no longer show as ERROR (missing NET cost). If any are still missing, complete them using Option 1 or 2 above.
Ongoing sync & maintenance
Automatic updates: New orders and product updates will continue to sync automatically after the initial import.
New products: When you add new products in Shopify, remember to enter or bulk-upload NET cost prices in Hellotax so your EC reports remain accurate.
Multiple stores: Each connected store has its own sync settings.
FAQ
Do I have to enter NET product cost prices?
Yes. It’s a mandatory tax-office requirement used for EC reports and cross-checks with VAT returns. You can add them manually or via CSV as shown above.
What exactly is the NET product cost price?
It’s supplier purchase price + shipping costs to the warehouse, excluding import VAT and duties.
Can I backdate changes to NET values?
Yes—when bulk-uploading via CSV, set Column D = “Yes” to backdate the NET changes.
