All transaction data must be uploaded to your hellotax software account — never sent by email — to ensure accurate VAT filings.
Quarterly VAT Filing
Quarterly VAT returns are common in the UK.
- Data upload to hellotax: By the 4th of the month following the end of the VAT period
- Example: VAT period ending 31 March → upload by 4 April
- Official HMRC filing deadline: Generally 1 calendar month and 7 days after the end of the VAT accounting period
- VAT payment deadline: Generally the same as the filing deadline
For example:
VAT period ending 31 March → VAT return and payment generally due by 7 May.
Monthly VAT Filing
Where a business has monthly VAT periods:

If your data is uploaded after the hellotax deadline:

- A €119 hellotax manual processing fee applies for each affected filing
Important: The €119 fee is a hellotax service fee for manual processing. It is not an HMRC penalty or charge. Any HMRC penalties or interest resulting from late submission or payment are separate.

If the required data is not provided, hellotax may be unable to prepare and submit your VAT return correctly and on time.
HMRC operates separate systems for late submission and late payment.
Late Submission
Late VAT returns can result in penalty points.
Once the applicable points threshold is reached, a financial penalty may be imposed. The threshold depends on how frequently the business is required to submit VAT returns.
Late Payment
Late-payment interest is charged from the first day the VAT payment is overdue.
A late-payment penalty can apply if the payment remains unpaid after 15 days.
The amount of any late-payment penalty will depend on the circumstances and how long the VAT remains outstanding.
