Uploading Your Movement of Goods
📌 What You Need to Know
Each month, businesses must upload details of any:
movement of goods
that took place during the previous reporting period into their hellotax software account.
This information is important for:
- VAT compliance
- Intrastat reporting
- OSS reporting
- stock movement tracking
- and cross-border ecommerce compliance obligations.
📅 Upload Deadline
The Movement of Goods upload should be completed:
by the 4th day of the following month
Example:
- movements taking place in January should normally be uploaded by:
4th February
⚠️ Uploading data late may increase the risk of:
- delayed filings
- incomplete VAT reporting
- or compliance issues.
🚚 What Is Considered a Movement of Goods?
A movement of goods generally includes:
any transfer of products you own between warehouses located in different EU countries.
This may include:
- transfers between your own warehouses
- shipments into Amazon FBA warehouses
- stock moved between Amazon fulfilment centres
- Pan-EU stock redistribution
- or inventory sent to third-party logistics providers.
⚠️ Movements can still create VAT reporting obligations even where:
- no customer sale takes place.
📥 How to Upload Your Movement of Goods CSV File
1️⃣ Download the hellotax CSV Template
You can download the template:
- directly from the hellotax software
- or from the relevant Help Centre article/link.
Within the software, navigate to:
Settings → Integrations → Manual Upload
2️⃣ Populate the CSV File
Enter your stock movement data carefully into the template.
Important:
- overwrite the example rows with your own data
- keep the formatting exactly as shown
- do not change column names or structure
- ensure dates and country codes follow the required format.
⚠️ Incorrect formatting may cause upload errors or rejected files.
3️⃣ Log Into Your hellotax Software Account
Access your hellotax account using your normal login credentials.
4️⃣ Navigate to Manual Upload
Within the software, go to:
Settings → Integrations → Manual Upload
5️⃣ Upload Your Completed File
Click:
“Upload my File”
and select your completed CSV file.
6️⃣ Review the Upload Confirmation
After uploading:
✅ A green confirmation message means the upload was successful.
❌ A red error message means:
- corrections are required
- or the file format/data contains issues.
If errors appear:
- scroll down to review the detailed error messages
- correct the issues
- then upload the file again.

The most common problems include:
- incorrect country codes
- missing warehouse information
- invalid date formatting
- altered CSV structure
- duplicate rows
- or incorrect product movement details.
Carefully reviewing the template before upload can help avoid delays.
