📤 Why You Must Upload Accurate Data on Time (United Kingdom)
Your Responsibilities — and What Happens If Data Is Late or Missing
To prepare accurate UK VAT returns and remain compliant with HM Revenue & Customs (HMRC), it is essential that all transaction data is uploaded directly into your hellotax software account — never sent to hellotax by email as a substitute for uploading it.
Most VAT-registered businesses are required to keep specified VAT records digitally and submit their VAT returns using compatible software under Making Tax Digital (MTD) for VAT.
Without complete and timely data inside the hellotax system, VAT returns cannot be prepared or submitted correctly.
This article explains why uploading your data properly is critical, what happens if data is late or missing, and how to stay compliant every reporting period.
✅ Why You Must Upload Data into the hellotax Software (Not by Email)
hellotax operates as a software-driven VAT compliance provider. All calculations, validations and filings are generated directly from the data stored in your account.
Uploading data into the system — instead of sending transaction files to hellotax by email — is essential because:
1️⃣ Email Data Cannot Be Used Directly for hellotax VAT Filings
Files simply sent to hellotax by email:
- Do not enter the VAT calculation engine
- Are not validated automatically
- Cannot automatically be included in your VAT return
Without data being available in the hellotax system, no return can be generated through the standard process.
2️⃣ UK VAT Requires Digital Record Keeping
Under Making Tax Digital for VAT, most VAT-registered businesses must keep specified VAT records digitally and use compatible software to submit their VAT returns to HMRC.
Your hellotax software account provides the data required for our VAT calculation and filing process.
3️⃣ The Software Creates an Audit Trail
Your hellotax account logs:
- Upload date
- Data source
- Integration status
- Adjustments and corrections
This helps maintain a clear record of the information used to prepare your UK VAT returns.
4️⃣ Manual Handling Increases Risk of Errors
If transaction data is sent to hellotax by email instead of uploaded correctly, additional manual handling may be required.
This can involve:
- Downloading
- Reformatting
- Manually importing
- Revalidating
This increases the risk of mistakes and falls outside the automated subscription process.
5️⃣ UK VAT Deadlines Cannot Be Delayed
For standard UK VAT returns, the online filing deadline is normally one calendar month and 7 days after the end of the VAT accounting period. This is also normally the deadline for VAT payment to reach HMRC.
If your data is not in the hellotax system in time, we may be unable to prepare and file your return by the applicable deadline.
📅 Your Monthly Data Deadline: Upload by the 4th
All transaction data must be uploaded no later than the 4th day of the month following the reporting period.
Example:
January transaction data → Upload deadline = 4 February
This includes:
- Amazon and other marketplace transactions
- Shopify / WooCommerce / webshop sales
- Manual invoices
- Returns and refunds
- Stock transfers
- Any third-party platform sales
⚠️ Your UK VAT return itself may be quarterly, but transaction data should still be provided according to the hellotax monthly data process.
Uploading after the 4th may compromise timely processing and filing.
⚠️ What Happens If You Upload Data Late?
If data is uploaded after the 4th:
- Automated processing may no longer be possible
- Manual reconstruction of your VAT return may be required
- Additional compliance checks must be performed
- The filing may need to be manually rebuilt and validated
This is an exceptional process requiring additional work.
👉 A €119 late-data processing fee applies per affected filing to cover the additional manual handling required.
🚫 What Happens If You Do Not Upload Data at All?
If required data is not uploaded:
❌ hellotax may be unable to prepare your VAT return
❌ Your HMRC filing deadline may be missed
VAT-registered businesses generally still have to submit a VAT return even where there is no VAT to pay or reclaim.
Missing a filing or payment deadline can result in:
- Late-submission consequences
- Late-payment penalties and interest where applicable
- Additional HMRC correspondence
- Further compliance action
Additionally:
- hellotax cannot take responsibility for filings prevented by missing client data
- Your account may be temporarily placed on hold after repeated failures
💡 Best Practices to Stay Compliant
✔ Activate All Integrations
Connect Amazon, Shopify, eBay, WooCommerce, etc., for automatic data flow.
✔ Perform a Monthly System Check
Ensure:
- Integrations are active
- Permissions are valid
- No connection errors appear
✔ Upload Manual Data Early (1st–3rd of the Month)
Avoid last-minute uploads on the 4th.
✔ Never Send Transaction Data to hellotax by Email Instead of Uploading It
Your data needs to be available within your hellotax account for the standard calculation and filing process.
✔ Inform Your Team
Make sure everyone involved understands:
- The 4th-day data deadline
- The upload process
- That sending transaction files to hellotax by email does not replace uploading the data into the software
