This means your VAT registration in the United Kingdom is complete, and you are now ready to begin compliant trading, invoicing, and VAT reporting.
This article explains what you need to do next, how to manage communication with HM Revenue & Customs (HMRC), and how to keep your hellotax account fully updated.
Important: The UK does not participate in the EU One Stop Shop (OSS) scheme, so this article relates to UK VAT registration only. EU OSS registrations must be managed through an EU Member State where applicable.
✅ What You Should Do Now
1️⃣ Forward All HMRC Letters or Emails to Your Account Manager
Once your UK VAT registration is active, HM Revenue & Customs (HMRC) may send:
- VAT registration correspondence
- Requests for additional information
- VAT Return reminders
- Payment notices
- Penalty notices
- General VAT correspondence
If you receive any letter or email directly, please forward it immediately to your hellotax Account Manager.
Why this matters:
- The document will be uploaded into your hellotax software account
- We maintain a complete compliance history
- This ensures smooth handling during HMRC queries or compliance checks
- Nothing important gets missed
Keeping a complete correspondence trail is important for long-term UK VAT compliance.
2️⃣ Upload All Transaction Data on Time (Mandatory)
To prepare accurate UK VAT returns, all relevant transaction data (including purchases and stock movements) must be uploaded to your hellotax account by:

This applies to:
- Marketplace sales (Amazon, eBay, etc.)
- Webshop sales
- Manual invoices
- Returns and refunds
- Stock transfers and movements

Incomplete or delayed data uploads may result in:
- Incorrect VAT filings
- Penalties or interest charges
- HMRC clarification requests
Accurate and timely uploads are mandatory for compliance.
3️⃣ We Will Add Your New VAT Details to Your Account
hellotax will automatically enter into your software account:
- Your 9-digit UK VAT Registration Number (VRN)
- Your effective date of registration
- Your applicable VAT reporting periods
HMRC confirms that businesses receive a 9-digit VAT registration number and an effective date of registration following successful registration.
This ensures:
- Correct reporting periods
- Accurate VAT calculations
- No issues with your first VAT Return
4️⃣ Inform hellotax of Any Other VAT or OSS Registrations
Although the UK does not operate the EU OSS scheme, you should still inform hellotax if your company:
- Holds VAT registrations in EU Member States
- Has an EU OSS registration
- Holds other relevant VAT registrations outside the UK
Why this is important:
- Cross-border transactions may affect UK VAT reporting
- EU VAT registrations may affect how transactions are classified
- OSS may apply separately to qualifying EU B2C sales
- It helps prevent duplicate or conflicting reporting
- It gives us a complete overview of your VAT position
Your EU OSS registration does not replace a UK VAT registration where UK VAT registration is required.

⚠️ Important Reminder
UK VAT-registered businesses are generally required to maintain digital VAT records and submit VAT Returns using Making Tax Digital-compatible software. New VAT-registered businesses are automatically signed up for Making Tax Digital unless exempt.
VAT Returns are normally submitted every three months, although other accounting arrangements can apply. The normal filing and payment deadline is one calendar month and seven days after the end of the accounting period.
Failure to file or pay correctly and on time may result in:
- Late submission penalties
- Late payment penalties
- Late payment interest
- HMRC correspondence or compliance action
Maintaining proactive communication and accurate reporting helps avoid these risks.
