VAT Registration Documents – UK
When registering for VAT in the United Kingdom, HM Revenue & Customs (HMRC) may require documentation confirming that your business is genuine, active, and legally established.
This guide explains the documents commonly requested during the UK VAT registration process and why they may be needed.
1. Company Establishment / Certificate of Incorporation
What it is:
The official document confirming your company registration.
Examples may include:
- Certificate of Incorporation
- Companies House extract
- Business registration documents
Why it’s needed:
HMRC must confirm that your company legally exists.
How to get a new copy:
You can usually download updated documents directly from:
- Companies House
- Your national Company Register
⚠️ Documents should normally be issued within the last 6 months.
2. VAT Certificate (If Applicable)
What it is:
A certificate confirming VAT registration in your home country.
Why it’s needed:
This helps demonstrate your company’s existing VAT status.
How to get a new copy:
Request an updated VAT certificate from your local tax authority.
3. Tax Identification Certificate (If Applicable)
What it is:
A document showing your company’s domestic tax identification number.
Why it’s needed:
HMRC may require confirmation that your business is properly registered for taxation in its home country.
How to get a new copy:
Contact your local tax authority or government tax portal.
4. Articles of Association / Company Constitution
What it is:
A legal document describing your company structure, ownership, management, and directors.
Depending on the country where your company is established, this document may be known by different names, such as:
- Articles of Association
- Company Constitution
- Incorporation Documents
- Memorandum and Articles of Association
- Corporate Charter
Why it’s needed:
HMRC may request confirmation regarding the individuals responsible for managing and controlling the business.
How to get a new copy:

- Your legal advisor
- Your national company register
5. Company Bank Statement
What it is:
A recent business bank statement showing:
- Bank name
- Account holder name
- IBAN/SWIFT or account details
- Account activity
Why it’s needed:
This helps confirm that your business operates an active company bank account.
The bank account should be held in the name of the company or be clearly linked to the business entity.
⚠️ The bank account shown does not have to be the same account later used for VAT payments.
How to get a new copy:
Download an official PDF statement from online banking or request one directly from your bank.
6. Director’s ID or Passport
What it is:
A valid government-issued photo identification document for company directors.
Examples may include:
- Passport
- National ID card
- Other government-issued photo identification (where accepted)
Why it’s needed:
HMRC may require identity verification for directors or company officers.
How to get a new copy:
Ensure all identification documents are valid and not expired.
📌 If a passport is not available, a national ID card or equivalent government-issued identification may be accepted depending on HMRC requirements.
7. Proof of Business Activity
What it is:
Evidence that the business is actively trading or preparing to trade.
Examples may include:
- Sales invoices
- Marketplace seller accounts (Amazon, eBay, Shopify, etc.)
- Supplier invoices
- Customer contracts
- Purchase orders
Why it’s needed:
HMRC may require proof that the business is genuine and actively trading, or preparing to trade, before approving a VAT registration.
How to provide it:
Your Registration Assistant will advise which documents are most appropriate for your business model and circumstances.
8. Additional Information You May Be Asked to Supply
Depending on your business activities, HMRC may request:
- Proof of UK business activity
- Ecommerce marketplace details
- Warehouse or storage agreements
- Supplier or customer invoices
- Proof of imports into the UK

⚠️ Additional checks are common for ecommerce and international trading businesses and do not necessarily indicate a problem with your VAT registration application.
