Setting Up Your HMRC Gateway Account with hellotax
📌 What is the HMRC Gateway?
The HMRC Gateway is the UK tax authority's secure online portal.
It allows businesses to:
- Access VAT services
- Manage tax-related information
- Receive certain communications from HMRC
- Interact with various HMRC online services
If you have a UK VAT subscription with hellotax, you will generally need your own HMRC Gateway account. This helps ensure that you remain in control of your VAT account while allowing hellotax and our UK tax partners to support your VAT compliance obligations.
⚠️ Creating an HMRC Gateway account does not automatically register your business for VAT or Making Tax Digital (MTD). These are separate processes that may need to be completed depending on your business circumstances.
Why You Need to Set It Up
HMRC requires most VAT-registered businesses to comply with Making Tax Digital (MTD) rules, meaning VAT returns must be submitted digitally using compatible software.
Having your own HMRC Gateway account helps:

✅ Maintain access to your VAT information
✅ Support compliance with HMRC requirements
✅ Allow authorised agents to assist with VAT matters where applicable
Step 1 – Schedule Your Setup Call
We will guide you through the setup process during a short onboarding call.
⏱️ The setup process typically takes approximately 10–15 minutes, provided all required information is available.
Before the call, please have available:
📧 A valid email address
📱 A mobile phone number capable of receiving verification codes
Step 2 – Create Your HMRC Gateway Account
During the call, we will guide you through:
- Visiting the HMRC online services portal
- Creating your sign-in credentials
- Verifying your email address
- Entering your company details
- Setting up a password
- Receiving and saving your Gateway ID
- Selecting the correct account type
- Enabling two-step verification for additional security
Once completed, your HMRC Gateway account will be active.
💡 For security reasons, we recommend storing your Gateway ID and password securely.
⚠️ If you lose your Gateway ID or password, HMRC provides options to recover your credentials through the sign-in portal. However, we strongly recommend keeping a secure record of your login details to avoid delays when accessing your account.
Step 3 – Authorising VAT Access
To allow hellotax and our UK VAT partners to assist with VAT compliance activities, additional authorisation may be required.
The exact process can vary depending on:
- Your VAT registration status
- Your filing arrangements
- HMRC's current authorisation procedures
Your onboarding specialist will guide you through any required authorisation steps.
⚠️ Please do not grant access to third parties unless instructed by hellotax or your appointed VAT advisor.
Step 4 – What Happens Next
Once the account setup and any required authorisations are complete, hellotax can support you with:
- UK VAT compliance
- VAT return preparation
- Digital VAT submissions
- VAT-related administrative processes where authorised
Please note that VAT registration and Making Tax Digital (MTD) enrolment are separate processes and may still need to be completed if they have not already been arranged.

🔐 You remain the owner of your HMRC Gateway account.
🔐 Keep your login credentials secure at all times.
🔐 Never share passwords through unsecured communication channels.
🔐 Keep your contact details up to date within your HMRC account.
🔐 Retain a record of your Gateway ID for future reference.
🔐 If your contact details change, update them promptly to ensure you continue to receive important HMRC notifications and verification codes.
