Setting Up Your HMRC Gateway Account with hellotax
What is the HMRC Gateway?
The HMRC Gateway is the UK tax authority’s secure online portal. It allows businesses to:
Submit VAT returns
View official correspondence from HMRC
Manage account permissions
If you have a UK VAT subscription with hellotax, you’ll need your own HMRC Gateway account. This ensures you remain in control of your VAT account, while allowing hellotax and our UK tax partners to file your returns and handle VAT matters on your behalf.
Why You Need to Set It Up
From 2021, HMRC requires businesses to file VAT returns digitally via Making Tax Digital. Having your own HMRC Gateway account:
Keeps all your VAT records in one secure place
Ensures compliance with HMRC rules
Allows hellotax to act on your behalf for UK VAT filings
Step 1 – Schedule Your Setup Call
We’ll guide you through the setup process in a short call.
Before the call, please have ready:
A valid email address for your HMRC account
A mobile phone number to receive verification codes
Step 2 – Create Your HMRC Gateway Account
During the call, we’ll walk you through:
Visiting the HMRC online services website
Creating your sign-in details using your email address
Confirming your email via a code sent by HMRC
Entering your company’s full name
Setting a temporary password (which you can later change)
Receiving your new Gateway ID — make sure to copy and save it
Selecting your user type as Organisation
Setting up 2-step verification with your mobile phone
Once this is complete, your Gateway account will be active.
Tip: Change your password straight after the setup for security.
Step 3 – Give hellotax Access to Your VAT Account
To file VAT returns for you, hellotax needs to be added as a team member with Administrator access.
You can do this by:
Signing in to your HMRC Gateway account
Going to Manage your account
Selecting Give permission to others
Adding hellotax as a team member using the details we provide
Selecting Administrator access
This grants us the access needed to manage your VAT filings efficiently.
Step 4 – What Happens Next
Once access is granted, hellotax:
Connects your account to our UK VAT filing system
Ensures future VAT returns are submitted on time
Monitors your account for any important HMRC correspondence
Important Notes
You own your HMRC Gateway account — hellotax simply has permission to act on your behalf.
Never share your permanent password with anyone except through secure channels during setup.
Always keep your contact details up to date in HMRC’s system.
