How to Fix Errors When Uploading to Your hellotax Account
Why Did My File Upload Fail?
Sometimes, when you try to upload a file into your hellotax software account, you may encounter an error like the one shown below:
(In this example, the file failed to upload due to format or content errors.)
Don’t worry—this is usually due to simple formatting issues in your .CSV file. Let’s walk through how to identify and fix them quickly.
🔍 Step 1: Understand the Error Message
When an upload fails, you'll see:
A red cross (❌) icon next to the file
A message like "0 rows uploaded"
A clickable “Show errors” link
Click “Show errors” to see:
Which row and column the issue is in
A brief description of the error
✏️ Step 2: Fix the Errors in Your File
Open your CSV file and make the required changes. Each column includes hints and tips at the top to help you enter the correct format. After correcting the errors, try uploading the file again.
If there are multiple errors, work through them one by one.
🚫 5 Common CSV Upload Errors (and How to Avoid Them)
1. 📅 Incorrect Date Format
✅ Use this format: YYYY-MM-DD
❌ Common mistake: DD/MM/YYYY or MM-DD-YYYY
Tip: Your PC’s regional settings might automatically change the date format. Be sure to override it manually in the CSV if needed.
2. 🔠 Capital Letters in Certain Fields
Some fields are case-sensitive.
✅ Follow the example in the column header
❌ Don’t use ALL CAPS unless specified
3. 💶 Wrong Currency Format
✅ For Euro, always enter: EUR
❌ Avoid using € or writing “euro”
4. 📂 Using an Old Template
Always download the latest template from your hellotax account each month.
Old templates may not match the current system setup, leading to errors.
5. 🧾 Missing or Invalid VAT Numbers in B2B Transactions
For B2B transactions, valid VAT numbers must be entered for both the buyer and seller.

✅ Final Tip
After fixing and re-uploading, wait for the green checkmark ✔️ to confirm a successful upload. This means your data has been accepted by the system.
